Location: On-site: Ridgefield and Saddlebrook, New Jersey
Employment Type: Full-Time (40 hours per week) Fixed-Term (12 weeks with possible extension)

About the Role: We are seeking a highly organized and personable Logistics Coordinator (LC) to join our team for a device study. In this crucial role, you will manage all aspects of onsite participant logistics, ensuring efficient recruiting and scheduling, excellent communication, and seamless participant experience. Your efforts will directly support smooth study operations and help us achieve our research goals.
Key Responsibilities:
Participant Recruitment & Screening: Recruit and screen eligible participants for study enrollment. Identify candidates based on predefined eligibility criteria and maintain a robust participant pool to meet study needs.
Scheduling & Coordination: Arrange and confirm participant appointments, considering both participant preferences and study logistics. Maintain accurate and up-to-date records of appointments in designated tracking systems.
Communication: Send timely confirmations, reminders, and follow-ups to participants via text, email, or phone. Ensure participants receive all necessary visit details, reminders, and follow-up actions (such as device returns).
Check-In & Onsite Support: Greet participants upon arrival, verify their information, and direct them to the appropriate staff member or moderator. Facilitate professional and welcoming onsite experience.
Device Inventory Management: Track, distribute, and collect all study devices according to schedules. Maintain accurate inventory logs, conduct regular checks, and promptly resolve any equipment issues or discrepancies.
Problem Solving: Troubleshoot and resolve scheduling conflicts, equipment problems, and participant concerns quickly and effectively to ensure minimal disruptions.
Participant Communication Expectations: Communicate clearly, courteously, and promptly with all participants and study team members. Adapt communication methods (call, text, email) to participants' preferences and protocol guidelines. Respond to participant questions and rescheduling requests in a timely manner. Deliver all instructions in a concise, accurate, and easily understood manner. Uphold professionalism and participant confidentiality at all times.
Teamwork & Collaboration: Work closely with moderators, study leads, and the operations team to ensure study goals are met. Proactively identify and escalate issues or barriers to the study lead as needed. Adapt quickly to last-minute changes or unanticipated challenges. Demonstrate strong attention to detail and organizational excellence in all tasks.
Job requirements
Required Tools:
Experience with User Interviews or similar recruitment/scheduling platforms is preferred.
Qualifications:
Bachelor’s degree or equivalent experience preferred.
1–2 years of experience in an administrative, clinical research, or logistics support role.
Proficiency in Microsoft Excel, including experience creating and managing spreadsheets and utilizing basic formulas.
Strong organizational, communication, and interpersonal skills.
Ability to solve problems and adapt quickly in a fast-paced environment.
Experience with general office software and technology (e.g., Microsoft Office Suite, Google Workspace, video conferencing platforms) is preferred but not required.
Must have a reliable car and valid driver’s license, and be willing to commute between cities for study-related activities and onsite support.
Familiarity with participant recruitment platforms is preferred but not required.
Hourly Range: Up to $25.00 USD per hour
